We are looking for a highly skilled and proactive Senior HR Ops Specialist to join our team. In this role, you will take ownership of structuring and optimizing HR administrative processes, ensuring seamless operations across multiple legal entities, and building efficient workflows. This is a key position for someone who thrives on creating order out of complexity and is passionate about delivering excellence in HR administration
Responsibilities:
— Process Optimization: Design, implement, and continuously improve HR admin processes to ensure accuracy, efficiency, and compliance
Compliance and Legal Setup:
Oversee the setup of new legal entities, ensuring compliance with relevant labor laws and regulations
Identify, establish, and manage partnerships with external service providers in different countries to support local compliance and HR operations, building efficient processes for collaboration
Data and Documentation Management:
Maintain accurate and up-to-date employee records, including personal files, contracts, and other documentation
Ensure compliance with data protection and confidentiality standards
Manage HR databases and HRIS systems, ensuring data integrity and consistency
— Audits and Reporting: Support audits and compliance activities, ensuring adherence to internal and external requirements
— Coordination of HR Operations: Oversee administrative tasks related to HR events, activities, and projects, ensuring smooth execution
Requirements:
— Proven experience in HR administration, with a focus on process design and optimization
— Strong understanding of compliance, legal entity setup processes, and building partnerships with external service providers
— Experience with HRIS systems and database management
— Excellent organizational and problem-solving skills with the ability to manage multiple tasks and projects effectively
— A proactive and solutions-oriented mindset, capable of identifying opportunities for improvement and driving change
— Attention to detail and a high level of accuracy in documentation and reporting
— Good level of spoken and written English and Russian; knowledge of local labor laws in multiple jurisdictions is a plus
— Knowledge of Estonian labor law is a big plus
